This Privacy Policy describes how Capsa Intelligence Inc ("Capsa," "we," "our," or "us") collects, uses, shares, and retains information through our website, marketing pages, demo and webinar forms, and hosted services (collectively, the "Site"). Our Site is operated from the United States and is primarily intended for businesses evaluating or using Capsa. If you access the Site from outside the United States, you understand that your information may be transferred to and processed in the United States. This Privacy Policy does not apply to third-party websites, products, or services that we do not control, even if we link to them.

Information We Collect

We collect information in three main ways:

• Information you provide directly, such as your name, business email address, phone number, company name, job role, and any other information you submit through demo, signup, webinar, or contact forms.
• Information collected automatically, such as IP address, browser and device data, pages viewed, clicks, referring URLs, session timing, approximate location inferred from IP, and basic diagnostic or performance information.
• Business context and company-level signals from service providers or public/business sources, including information that may help us infer the company, company domain, or organization associated with a visit.

You can browse most of the Site without submitting your name or contact information, but some pages and services require you to provide it so that we can respond.

Cookies, Analytics, and Company-Level Visitor Signals

We use cookies, similar technologies, and third-party service providers to understand how our Site is used, measure marketing performance, and identify business-level interest in our content and services. These providers currently include Vercel Analytics and Clay.

We may also use company-level website interest signals together with information you provide, prior business interactions, or publicly available business contact information to decide whether to reach out about Capsa. How We Share Information

We may share information with service providers and business partners that help us run the Site and support our operations, such as hosting, analytics, visitor-intelligence, communications, webinar delivery, email delivery, customer relationship management, and security providers.

We may also disclose information to our professional advisors, in connection with an actual or proposed financing or business transaction, or when required to comply with law, enforce our rights, protect users, or respond to lawful requests.

We do not disclose raw Gmail content to other users inside a customer organization except as described in the Email Integration section below.

Retention

We retain information for as long as reasonably necessary to operate the Site and our services, respond to requests, keep records of business communications, troubleshoot, protect our systems, enforce agreements, and satisfy legal, accounting, or compliance obligations. We may retain aggregated or deidentified information longer.

Your Privacy Choices

• Ask us to stop non-transactional marketing or sales outreach.

Email Integration (Gmail)

Our application offers an optional email productivity feature that allows individual users to connect their Gmail accounts. This section describes how we collect, use, and protect email data when you choose to use this feature.

Data We Collect

When you authorize access to your Gmail account, we collect email metadata (sender, recipient, date, subject line) and email content. This data is collected solely to provide the email productivity features you have authorized.

How We Use Email Data

Email content is processed programmatically to extract signals necessary to support user-facing productivity features. Specifically, we use automated processing (including AI/LLM systems) to:

• Match email communications to proposals and customer accounts in our system
• Generate follow-up status indicators (e.g., whether a follow-up has occurred)
• Calculate last-contacted dates for accounts
• Provide account coverage metrics and insights

This processing is automated and is not used to display email content to other users or for advertising purposes.

Team Visibility

Only derived insights are shared with teammates and leadership within your organization. These derived insights include:

• Follow-up status (yes/no indicators)
• Last-contacted dates
• Account coverage indicators
• Aggregated metrics (e.g., percentage of accounts contacted)

Raw email content (including email body text, subject lines, and attachments) is never displayed to other users, including teammates or leadership.

What We Do Not Do

• We do not display your email content to other users
• We do not use your email data for advertising purposes
• We do not sell your email data to third parties
• We do not allow human review of email content except where required for security, legal compliance, or with your explicit consent

Disconnecting Your Account

You may disconnect your email account at any time through your account settings. When you disconnect, we will delete your stored email credentials and cease all sync operations for your account. You may also revoke access directly through your Google account settings.

Google API Services User Data Policy

Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Third Party Websites and Social Media Platforms

The Site may contain links to other websites, and other websites may reference or link to our website or other websites. These other websites are not controlled by us. We encourage our users to read the privacy policies of each website and application with which they interact. We do not endorse, screen or approve and are not responsible for the privacy practices or content of such other websites or applications. Visiting these other websites or applications is at your own risk. Our Site may also include publicly accessible blogs, social media pages, and private messaging features. As such information will be public, the personal information provided by you may be viewed and used by third parties for any number of purposes. In addition, social media buttons such as LinkedIn and Twitter (that might include widgets such as the "share this" button or other interactive mini-programs) may be on our Site. These features may collect your IP address, which page you are visiting on our site, and may set a cookie to enable the feature to function properly. These social media features are either hosted by a third party or hosted directly on our site. Your interactions with these features apart from your visit to our site are governed by the privacy policy of the company providing it.

Do Not Track Signals

Do Not Track ("DNT") is a privacy preference that users can set in certain web browsers. Please note that we do not respond to or honor DNT signals or similar mechanisms transmitted by web browsers.

Children

The Site is not directed to children under 18 (or other age as required by local law), and we do not knowingly collect personal information from children.
