This Privacy Policy describes how Capsa, LLC ("Capsa") collects, uses and shares personal information through our website and services ("Site"). The Site and our services are provided from the United States of America (US) only and is not intended to be subject to any non-US jurisdiction. This Privacy Policy does not pertain to, and Capsa is not responsible for the privacy practices of, any third-party websites to which the Site hyperlinks.

Activity Logging

When you use the Site, which may be hosted in part or its entirety by a third party, the Site will collect information indirectly and automatically (through, for example, the use of "cookies" or your "IP address") about your activities. We use this activity information (the "Activity Information") for internal purposes such as to administer the Site, improve the Site, and help us understand how the Site is being used including the demographics and "clickstreams" of its visitors. "Cookies" are small pieces of information stored on your hard drive or device. You are always free to decline cookies if your browser permits, but in that case, some portions of the Site may not operate properly. An "IP address" is a number that is automatically assigned to your computer or device.

Personally Identifiable Information

The Site is designed so that you may generally browse it without providing any Personally Identifiable Information (defined below). Certain areas of the Site, however, may require or allow the voluntarily submission of Personally Identifiable Information (for example, to contact us through our web contact form). We use your Personally Identifiable Information for the purposes for which it was submitted by you to Capsa and for us to send you publications and invitations that may be of interest to you. Except as otherwise set forth in herein, Capsa does not share your Personally Identifiable Information with third parties. "Personally Identifiable Information" means information that would allow someone to identify or contact you, such as your name, physical or electronic mail address, and telephone number; provided, however, Personally Identifiable Information as used herein does not include aggregated information that, by itself, does not permit the identification of individual persons and does not include the Activity Information.

Email Integration (Gmail)

Our application offers an optional email productivity feature that allows individual users to connect their Gmail accounts. This section describes how we collect, use, and protect email data when you choose to use this feature.

Data We Collect

When you authorize access to your Gmail account, we collect email metadata (sender, recipient, date, subject line) and email content. This data is collected solely to provide the email productivity features you have authorized.

How We Use Email Data

Email content is processed programmatically to extract signals necessary to support user-facing productivity features. Specifically, we use automated processing (including AI/LLM systems) to:

  • Match email communications to proposals and customer accounts in our system
  • Generate follow-up status indicators (e.g., whether a follow-up has occurred)
  • Calculate last-contacted dates for accounts
  • Provide account coverage metrics and insights

This processing is automated and is not used to display email content to other users or for advertising purposes.

Team Visibility

Only derived insights are shared with teammates and leadership within your organization. These derived insights include:

  • Follow-up status (yes/no indicators)
  • Last-contacted dates
  • Account coverage indicators
  • Aggregated metrics (e.g., percentage of accounts contacted)

Raw email content (including email body text, subject lines, and attachments) is never displayed to other users, including teammates or leadership.

What We Do Not Do

  • We do not display your email content to other users
  • We do not use your email data for advertising purposes
  • We do not sell your email data to third parties
  • We do not allow human review of email content except where required for security, legal compliance, or with your explicit consent

Disconnecting Your Account

You may disconnect your email account at any time through your account settings. When you disconnect, we will delete your stored email credentials and cease all sync operations for your account. You may also revoke access directly through your Google account settings.

Google API Services User Data Policy

Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Removal of Personally Identifiable Information

Capsa will use reasonable efforts to remove your Personally Identifiable Information from our then-current Site upon your written request to user@capsaintelligence.com. Such removal of Personally Identifiable Information will not ensure the permanent removal of such Personally Identifiable Information from the Site. For example, such Personally Identifiable Information may remain in archival or backup copies of the Site.

Additional Disclosure of Personally Identifiable Information

We may share Personally Identifiable Information with third parties, including affiliated firms and third parties performing services for or on behalf of Capsa. Such services may include communications, database, event management, hosting, mailing, and marketing services. Additionally, we cannot fully ensure that your Personally Identifiable Information will not be disclosed to third parties. For example, we may be legally obligated to disclose information to the government or third parties under certain circumstances, third parties may circumvent our security measures to unlawfully intercept or access transmissions or private communications, or an error may occur in the administration of the Site. In the unlikely event that Capsa needs to investigate or resolve possible problems or inquiries, we may, and you authorize Capsa to, disclose any information about you to government officials as permitted by applicable law. If we are involved in a merger, acquisition, financing due diligence, reorganization, bankruptcy, receivership, purchase or sale of assets, or transition of service to another provider, then your information may be sold or transferred as part of such a transaction, as permitted by law and/or contract.

Third Party Websites and Social Media Platforms

The Site may contain links to other websites, and other websites may reference or link to our website or other websites. These other websites are not controlled by us. We encourage our users to read the privacy policies of each website and application with which they interact. We do not endorse, screen or approve and are not responsible for the privacy practices or content of such other websites or applications. Visiting these other websites or applications is at your own risk. Our Site may also include publicly accessible blogs, social media pages, and private messaging features. As such information will be public, the personal information provided by you may be viewed and used by third parties for any number of purposes. In addition, social media buttons such as LinkedIn and Twitter (that might include widgets such as the "share this" button or other interactive mini-programs) may be on our Site. These features may collect your IP address, which page you are visiting on our site, and may set a cookie to enable the feature to function properly. These social media features are either hosted by a third party or hosted directly on our site. Your interactions with these features apart from your visit to our site are governed by the privacy policy of the company providing it.

DNT

Do Not Track ("DNT") is a privacy preference that users can set in certain web browsers. Please note that we do not respond to or honor DNT signals or similar mechanisms transmitted by web browsers.

Children

The Site is not directed to children under 18 (or other age as required by local law), and we do not knowingly collect personal information from children. If you learn that your child has provided us with personal information without your consent, you may contact us at user@capsaintelligence.com. If we learn that we have collected any personal information in violation of applicable law, we will promptly take steps to delete such information.

Changes

We may revise this Privacy Policy from time to time in our sole discretion. If there are any material changes to this Privacy Policy, we will endeavor to notify you. You understand and agree that you will be deemed to have accepted the updated Privacy Policy if you continue to access the Site after the new Privacy Policy takes effect.
